Share a report
In the Sharing section, set visibility to Private (only me), Shared with everyone, or Shared with specific roles, then pick the roles.
By default a report is yours alone. When it's useful to the team, change who can see it in the Sharing section of the builder.

How do I share a report?
- Open the report and click Edit, or build a new one.
- In the Sharing section, choose a visibility:
- Private (only me) — nobody else sees it.
- Shared with everyone — all users who can view reports.
- Shared with specific roles — only the roles you pick.
- If you chose roles, select one or more from the Roles list.
- Save. The report's Visibility badge updates in the gallery.
What can other people do with a shared report?
Only the report's owner can edit or delete it. Others can run a shared report, favourite it, and duplicate it into their own private copy without changing yours.
Tip. Share with specific roles when a report is sensitive, like margins or costs. Everyone on those roles sees it; nobody else does, even with the link.
Common questions
Can a colleague edit a report I shared?
No. Only the owner can edit or delete a report. Others can run it, favourite it and duplicate it, but their changes go into their own copy.
What does "Shared with everyone" cover?
Every user whose role can view reports. It doesn't grant anyone the ability to read record types they otherwise can't, so a person still needs read access to the underlying data.
How do I make a shared report private again?
Open it, click Edit, set the Sharing visibility back to Private (only me), and save. It disappears from other people's Shared tab.
